Government Exam Application Documents Checklist: Photo, Signature, ID and Certificates

Student preparing for an examination at a desk

Many application mistakes happen before the exam itself: a mismatched date of birth, an unreadable photograph, a category certificate in the wrong format or a form submitted without a saved receipt. These problems are frustrating because they are often preventable with a short document check.

The exact list depends on the recruiting body and post. Use this checklist to organise your files, then follow the dimensions, file sizes and certificate rules in the current official notification. Do not assume one exam’s upload rules apply to another.

Prepare a basic document folder

  • Identity details: keep the identity document accepted by the notice and ensure your name and date of birth match the information you enter.
  • Educational records: certificates and mark sheets required to establish the qualification, subjects, passing date or degree completion.
  • Photograph: a recent image that meets the stated background, dimensions, file type and file-size rules.
  • Signature: a clear scan in the required format; do not upload a photo of a signature if the notice asks for a specific scan.
  • Category or eligibility certificates: only where applicable, using the issuing authority, format, validity and date rules set out in the notice.
  • Technical or professional proof: licences, registration, experience certificates, typing qualifications or trade certificates if the post requires them.
  • Payment and submission proof: fee receipt, registration number, final submitted form and any confirmation message.

Make your personal details consistent

Before opening the application form, write down your full name as it appears in the documents accepted by the recruiting body, date of birth, parents’ names if requested, correspondence address, permanent address, qualification details and category information. Enter data carefully rather than switching between documents while rushing.

If two official documents show different spellings or dates, do not invent a correction. Read the recruitment notice for acceptable supporting documents and correction procedures. If the rule remains unclear, contact the official helpdesk before submission when time allows.

Photo and signature uploads

Every recruiting portal can have its own technical requirements. Check whether the photograph must be recent, whether a plain background is required, and what image dimensions and file size are accepted. Do the same for the signature and any thumb impression or handwritten declaration. A file can look fine on your screen and still fail the portal because it is too large or in the wrong format.

Use a clear filename so you can identify each file, but follow any filename instructions in the portal. After uploading, use the preview if one is available. Confirm that the face is visible, the signature is not cropped and the uploaded document is the right one. Avoid repeatedly resizing a low-quality image until the text becomes unreadable.

Category, disability and other certificates

Reservation and relaxation rules can depend on the exact recruitment, category, issuing authority, format and date of the certificate. Do not assume a certificate accepted by one organisation will automatically be accepted by another. Read the relevant notice and annexures. If you claim a relaxation, make sure you meet the stated condition and can produce the required proof at the stage specified.

For persons with benchmark disabilities or candidates requiring a scribe or compensatory time, check the official instructions well before the exam. The procedure may require specific documentation or advance selection in the application portal. Do not rely on an informal checklist copied from a different examination.

Review before payment and final submission

  1. Check the exam and post name, not just the recruiting body’s name.
  2. Recalculate age using the notification’s cut-off date.
  3. Confirm qualification, passing date and any subject-specific requirement.
  4. Check category, disability, ex-servicemen or other applicable claims.
  5. Review exam-centre and post preferences carefully; some choices cannot be changed later.
  6. Check every upload in the preview and correct errors while the portal permits it.
  7. Complete payment only through the official application flow and confirm its status.
  8. Download the submitted form and receipt, then store a backup.

Keep a simple tracking sheet

For each exam, record the official notification link, registration number, application deadline, fee status, correction-window deadline, exam date when officially announced and the folder containing your files. This is especially helpful if you apply to more than one recruitment. Use a password-protected personal file for sensitive information and do not share identity documents in public groups.

Important: The recruiting authority’s current instructions control the accepted documents, image dimensions, file sizes and certificate requirements.
